This Vendor Services Agreement (“Agreement”) is made between Saxon Manor (referred to as “Client Representative”) and the undersigned vendor (“Vendor”) in relation to services being provided on behalf of a couple booked through Saxon Manor.

• Vendor agrees to provide professional services as described below for a couple whose wedding or event is being hosted at Saxon Manor.
• Saxon Manor is the booking party on behalf of the couple and will act as liaison until the Vendor is officially confirmed.
• Once confirmed, Vendor agrees to communicate directly with the couple to finalize all service-specific details (e.g., music preferences, engagement shoots, tastings, ceremony planning, etc.).

• Vendor agrees to contact the couple within 72 hours of confirmation from Saxon Manor to begin planning and coordination.
• Vendor agrees to deliver services professionally and in good faith on the contracted event date.
• Vendor is responsible for their own contracts, insurance, licenses, and your client forms.

• Vendor will receive the agreed-upon compensation directly from Saxon Manor OR the couple, depending on package arrangement.
• Any additional upgrades or service add-ons must be agreed upon directly with the couple, billed separately and discussed with Saxon Manor.

• If the event is canceled or rescheduled, Saxon Manor will notify Vendor as soon as possible.
• If Vendor must cancel due to emergency or force majeure, they must provide a qualified replacement or refund all paid fees.
• Non-refundable deposits will be honored only if outlined clearly in the Vendor’s own terms.

• Be punctual and conduct services with professionalism and courtesy.
• Coordinate logistics directly with the couple and/or Saxon staff.
• Follow Saxon Manor’s event day protocols, including parking, setup, and venue-specific policies.
• Provide any marketing content (logo, business name, description) to Saxon Manor if requested for materials or client handouts.
• Saxon Manor Weddings provides meals to the Vendors and/or their assistant, matching what is served to guests.

• Vendor is an independent contractor, not an employee of Saxon Manor.
• Vendor agrees to carry general liability insurance and is solely responsible for their staff, equipment, and services.
• Saxon Manor is not responsible for theft, damage, or injury related to Vendor services or equipment.

• Vendor grants Saxon Manor the right to use any photo/video taken during the event for marketing purposes unless opted out in writing.
• Vendor may use content for their own portfolio or marketing, unless the couple opts out.

• Neither party shall be held liable for any failure to perform due to unforeseen circumstances beyond their control, including but not limited to acts of God, natural disasters, government restrictions, pandemics, or civil disturbances. In such cases, both parties agree to negotiate a rescheduled date or alternative solutions.

• Both parties agree to attempt mediation before pursuing legal action.
• Legal disputes, if necessary, shall be governed by the laws of Hernando County, FL.

DJ Vendor - Responsibilities (Awareness)

• DJ-Vendor / Entertainment is booked for 5 hours with couples for ceremony and reception or event at Saxon Manor Weddings.
• DJ-Vendor is available for an extra hour at $200 if the couple (clients) select to stay longer. Saxon is responsible for letting the DJ-Vendor know of the extra hour before the last hour of the wedding reception / event.
• Saxon Manor Weddings ensures the venue provides adequate power supply and a designated DJ setup area.
• DJ-Vendor is responsible to bring and setup their own equipment for all areas needed, including ceremony and reception spaces.
• Saxon Manor and the DJ-Vendor are responsible for trying to ensure guests do not damage any DJ equipment.
• Couples (clients) should provide a finalized playlist or must-not-play list at least 30 days before the event.
• Couples (clients) are encouraged to submit the event worksheet to the DJ, including music selections and an itinerary of key moments (e.g., first dance, cake cutting) if music cues are required.

DJ Vendor - Added Liability Waiver

• Saxon Manor Weddings does not hold the DJ-Vendor liable for venue power failures, venue restrictions, or unforeseen technical issues beyond their control.

DJ Vendor - Cancellation Policy

• Saxon Manor Weddings understands your initial deposit is non-refundable if we or on behalf of our couples (clients) cancel services.
• If the DJ-Vendor must cancel services due to unforeseen circumstances, a full refund of the deposit will be provided, and reasonable assistance will be offered in securing alternative arrangements.

Photographer Vendor – Responsibilities (Awareness)

Photography Services

Photographer is contracted to provide professional photography services, including:

5 hours of coverage on the event day (ceremony, reception, and pre-event consultation if applicable)

1-hour engagement or pre-event session

Equipment & Setup

Photographer is responsible for bringing, setting up, and operating all necessary photography equipment, including cameras, lenses, lighting, and backup gear.

Venue Coordination

Saxon Manor Weddings ensures the venue provides access to all designated photography locations, including ceremony and reception areas, and that any necessary permissions or arrangements are in place.

Client Collaboration

Couples (clients) should provide a list of must-have shots and any special requests at least 30 days prior to the event. Clients are encouraged to submit the event timeline with key moments (first dance, cake cutting, etc.) to ensure seamless coverage.

Saxon Manor Coverage Requests

Since Saxon Manor is the original client hiring the Photographer, coverage of all bouquets, florals, and other Saxon setups as determined by our designers, coordinators, and management must be included in the Photographer’s itinerary.

Guest Management

Saxon Manor Weddings and the Photographer will coordinate to minimize guest interference with photography and protect equipment during the event.

Photographer Vendor – Payment Terms & Hours

Contracted Hours

Total contracted hours are 6 hours: 5 hours for the event day + 1-hour engagement or pre-event session.

Additional Hours

Any hours beyond the 6 contracted hours are available at a pre-agreed rate. Saxon Manor Weddings must notify the Photographer of any extension before the last hour of the scheduled coverage.

Deposit & Balance

A non-refundable deposit is due at signing and applied toward the total fee. Remaining balance is on the day of the event.

Photographer Vendor – Cancellation Policy

Client Cancellation

The deposit is non-refundable under all circumstances.

Photographer Cancellation

In the event of illness or emergency, the Photographer will provide a full refund of all payments made and will give as much notice as possible to the client.

Photographer Vendor – Rights & Deliverables

Copyright & Usage

Photographer retains full copyright to all images. Couples (clients) receive a license for personal, non-commercial use.

Promotional Use

Photographer may use images for promotional purposes (website, social media, portfolio, advertising), unless the client requests otherwise in writing.

Deliverables Timeline

Digital files delivered within 6 weeks of the event

Prints or albums, if included, delivered within 6 weeks

Sneak peeks provided within 2 weeks

Photographer Vendor – Limitations of Liability

Photographer is not liable for loss, damage, or delays due to unforeseen circumstances, including equipment failure or technical issues.

In the unlikely event of damaged or lost images, Photographer’s liability is limited to a refund of the payment for the affected portion of services.

Model Release

By signing, the client grants Photographer permission to use images for display, portfolio, advertising, social media, or other lawful purposes, unless otherwise agreed in writing.

By signing below, you acknowledge and agree to the terms of this Vendor Agreement. Saxon Manor reserves the right to cancel bookings if vendors fail to make contact with clients in a timely manner or do not uphold expected service standards.
